 How to Begin a Caravan Ministry

STEP 4: Order Supplies, as Needed

Order Caravan books, uniforms, and badges as needed.

STEP 5: Register Your Local Caravan Program with the Caravan Office

Complete an annual registration form and mail it to the general Caravan office in September. The registration form is available on the Caravan web site.

STEP 6: Plan the Year

The Caravan workers form the Caravan Committee. The local Caravan director serves as the chairperson. The Caravan Committee meets five times during the year.

Organization Meeting
  1. Set starting and ending dates for the Caravan year
  2. Mark dates Caravan will not meet due to holidays or church events, such as revivals.
  3. Set date for February Blue and White Dinner
  4. Set dates for Caravan ceremonies (Induction, Badge, Graduation)
  5. Plan Caravan Sunday, third Sunday of October
  6. Plan local sign-up/registration night
  7. Explain the record-keeping procedure each teacher is to follow. Prepare a Six-Year Individual Record form for each child. This is the official record form you will use to submit award requests to the general Caravan office.
  8. Prepare Caravan calendar. Give a copy to all Caravan workers, Caravan families, local church leaders, and the church office.
  9. Discuss policies (discipline, worker absence, child absence, location and purchase of supplies, budget procedures, etc.)
August Meeting (plan September-October-November quarter)
  1. Each teacher provides a list of badges they will work on during September-October-November quarter
  2. Finalize plans for sign-up/registration of local children
  3. Finalize plans for the Induction Ceremony
  4. Begin making plans for Christmas activities
  5. Discuss procedures, policies, and solutions to problems
November Meeting (plan December-January-February quarter)
  1. Each teacher provides a list of badges they will work on during the December-January-February quarter
  2. Finalize plans for Christmas
  3. Finalize plans for the Blue and White Dinner
  4. Begin making plans for Easter activities
  5. Discuss procedures, policies, and solutions to problems
February Meeting (plan March-April-May quarter)
  1. Each teacher provides a list of badges they will work on during the March-April-May quarter
  2. Finalize plans for Easter
  3. Plan the Caravan Graduation Ceremony
  4. Prepare to submit to the general Caravan office an award form and a copy of Six-Year Individual Record form for each child earning a Bunker, Winans, Lillenas, or Bresee award.
  5. Discuss procedures, policies, and solutions to problems.
Yearly Wrap-up
  1. The Caravan director, teachers, and workers return all items for return all items for storage in a designated Caravan storage area at the local church.
  2. All Six-Year Individual Record forms are updated and stored.
  3. Evaluate the year. Create a list of recommended changes and improvements for the coming year. List the suggestion and the reason for the suggestion. The Caravan director files this information with the official record forms and Caravan Committee minutes.
  4. Provide a written end-of-the-year report (informational and financial) to the Children's Ministries Director, Children's Pastor, Sunday School Superintendent, and Pastor.
